CLIENT REQUEST

PBC was asked to conduct an audit of the Telecommunications and Fibre infrastructure within a sizeable Canadian school district.

DISCOVERY

PBC was able to identify the following areas requiring solutions

TELECOM MANAGEMENT

  • Erroneous service address on Vendor bills.
  • Inability to determine location of services.
  • Incorrect or missing service function descriptions.
  • Unused or unnecessary services.

COST REDUCTION

  • Review of contracted pricing.
  • Contract renegotiation.
  • Reduction of Early cancellation fees.
  • Review of Vendor bill accuracy and error recovery methodology.

ADDITIONAL CHALLENGES

  • Vendor bills were nearly incomprehensible.
  • Contract Management System with notification of expiry was non-existent.
  • Change Management SOPs were not created.
  • Reduction in person-hours.

PBC SOLUTION

PBC used its accumulated knowledge to provide a comprehensive solution which checked all the boxes

  • PBC conducted a complete audit of landlines, PBX Hardware, associated VoIP system, and internet infrastructure.
  • Created and populated an Asset Management System with accurate information.
  • Telecommunications savings of approximately $460,000 were realized.
  • Approximately $10,000 in billing errors were uncovered and recovered by PBC.
  • PBC improved Move, Add, Change, Delete (MACD) processes.
  • New billing reports were delivered, reducing the workload for the Accounts Payable dept.
  • Contract management process was organized, complete with notifications as the contract and maintenance agreement approached their end dates.
  • PBC assisted with the creation of an RFP, selecting the winning bid, AND provided project management for its implementation.
  • PBC assisted in the rollout of an E-fax solution.
